How emails are managed in KAPTO
KAPTO is designed to streamline and simplify the handling of inbound emails. Through the careful extraction and processing of data from .EML files, KAPTO ensures that all pertinent information is identified, recorded, and made easily accessible for users.
Whenever an .EML file is ingested into KAPTO, the platform meticulously unpacks the contents of the email. This includes not only the main email but also any nested emails, ensuring that no piece of information goes unnoticed.
Depending on the set email policy management, KAPTO also deals with the email attachments in a systematic manner. Attachments can either be merged together to create a unified document or kept separate, with each attachment becoming a standalone document within the system. This flexibility enables KAPTO to adapt to different organizational needs and preferences.
Beyond attachments, the header and body of the emails are also converted into separate documents. This practice ensures high data granularity, making it easier for users to find and access specific pieces of information.
Lastly, the platform maintains strict records of each email's origin. This traceability allows users to track back any document to its source email (see Document Communication Transaction for details), contributing to the overall transparency and accountability within the system.
By implementing these processes, KAPTO transforms the way organizations manage inbound emails. It not only ensures that all important information is captured but also organizes the data in a way that enhances accessibility and traceability.
